Basic Function
S/he will be responsible for managing all programmatic documentation and writing required to support project(s). Writing weekly situation reports, formal and informal donor reports, reports for host government, data reporting to the donor, external communication pieces for websites, writing concept notes, proposal and project modifications.
Duties & Responsibilities:
Participate in project start-up and implementation activities in resource-scarce humanitarian emergencies and program development initiatives and serve as a point of contact between the project team and headquarters (HQ) staff. Develop concept notes and unsolicited proposals for United States Agency for International (USAID) and/or Bureau of Humanitarian Assistance (BHA), and other potential funders, including the gathering and editing of technical sections, compiling budget inputs, and ensuring swift submission in line with donor regulations and the organization’s business development procedures. Responsible for donor communications as assigned by Response Coordinator, including formal and informal reporting and developing communication products for the organization Corporate Communications Department. Ensure field offices have appropriate processes in place to identify and archive audit- relevant project documentation. Support routine audit activities as required. Contribute to and coordinate with inter-agency human resources and administration working groups while on assignment. Work with the director of the project team and home office support staff to develop protocols to standardize the project’s approach to the scale up of programs in an emergency and/or in development phase. This may include the development of new staff orientation manuals, compliance and regulation assessment checklists, and corresponding training materials for staff. Prepare and submit weekly, monthly, semi-annual, and annual program reports on time as per Donor Guidelines, Researches, writes, and edits a broad range of communications that promote the activities of the organization. Develops and implements communications and public relations strategies to promote and publicize a variety of departmental projects, services and programs. Provides consultative review and editing to internal customer’s communications to ensure accuracy and clarity of message and tone. Develops internal newsletters, memos, and intranet content for the company. Assists unit lead in meeting specific unit deliverables, including planning and budget assistance. Work with Monitor and evaluation team for data collection and analysis. Performs other duties as assigned.
Knowledge, skills and abilities:
Working proficiency with relevant USAID/BHA or other applicable policies and regulations. Operational familiarity with international humanitarian architecture and core coordination processes for large-scale emergencies. Promote Prevention of Sexual Exploitation and Abuse (PSEA) standards and Red Cross and NGO Code of Conduct. Excellent verbal and written English skills required. Knowledge of international donor procurement regulations and United Nations (UN) coordination experience essential; expertise with fraud detection and investigation techniques necessary. May work in insecure locations with minimal infrastructure or amenities. Must be able to read, write, and speak fluent English.
Qualifications and requirements:
- BS/BA in Business Administration, Communications, Human Resources Management, or related field with 7 – 9 years of relevant experience.
- Or MS/MA degree in Business Administration, Communications, Human Resources Management, or related field with 5 – 7 years relevant experience.
- Typically requires 5-8 years of writing, editing, and publications experience.
- Excellent writing, editing, communication and presentation skills as well as familiarity with fundamentals of external communication in a humanitarian context are essential
- Has sensitivity to cultural diversity and understanding of the political, contextual, and ethical issues in assigned areas.
- Ability to provide clear messages on complex issues
- Must be articulate, professional, and able to adjust communication methods based on the audience
- Must be able to read, write, and speak fluent English.
- Prior work experience in a non-governmental organization (NGO).
Typical Physical Demands:
- Typical office environment. Ability to sit and stand for extended periods of time; ability to lift 5-50 lbs.
