All CGIAR Centers are currently engaged into a reform process (“One CGIAR’”) that will help ICARDA and CGIAR achieve better impact through more strategically integrated research, unified governance, an integrated structure and new research modalities across participating Research Centers. This transformation is supported by CGIAR donors who have committed to increased funding as a result of these reforms.

Main responsibilities

The role of the Administrative Assistant includes, but is not limited to:

Provide Administrative Support to the Country Manager in Country

  • Provide administrative support to the Country Manager which will include drafting correspondence and following up,
  • Liaise with concerned Ministries and Government institutions in Jordan on all matters requiring government approvals such as residency cars, work permits, customs
  • Provide guidance and assistance to new employees, students, interns, or consultants,
  • Establish and maintain accurate and current personal files of all NRS Staff (existing and past employees),
  • Manage the separation process of staff in-country,
  • Serve as the focal point for all statutory matters,
  • Serve as the focal point for staff for all matters related to the local medical insurance,
  • Help maintain a pleasant and productive team atmosphere.
  • Take on any other related duty in coordination with Country Manager.

Ensure office facilities provide a good, cost-effective, working environment (facilities and ICT)

  • Coordinate with the host NARC in Jordan on matters related to office organization, facilities and utilities,
  • In coordination with the Country Manager, ensure that space needs (office space, meeting rooms, other common spaces) are identified and responded to appropriately. Coordinate any changes to space allocation. Coordinate with IT as needed,
  • Ensure service contracts are maintained,

Ensure other administrative services are provided in a professional and cost-effective manner

  • Ensure that transport management complies with ICARDA standards and that users are satisfied with the services, that transport is cost effective, that vehicles are well-maintained, and all vehicle documentation and comprehensive vehicle insurance is up to date,
  • Support procurement activities locally,
  • Working together with the Travel and Security Coordinator to facilitate travel and accommodation for staff and visitors to the country office,

Manage the Administration team (drivers and Office assistant)

  • Coach and supervise team members, provide feedback, and support and carry out regular performance appraisal processes,
  • Coordinate as needed with HR on staff-related matters.

Requirements

Education, qualifications, and experience

  • BSc in business management, or equivalent, with a minimum of three years’ experience in Administration, Operations and Office Management,
  • Demonstrated experience in working on confidential matters,
  • Demonstrated ability to work harmoniously with diverse colleagues and functions,
  • Resourceful and with a flexible approach,
  • Ability to plan and anticipate problems and to problem solve,
  • Demonstrated proficiency in using Microsoft Outlook, Word and Excel, and working effectively on an ERP system (Enterprise Resource Planning),
  • Fluency in English and the relevant national language spoken and written is essential,
  • Ability to manage, organize and prioritize tasks efficiently.
