About the Role

The Global Alliance for Improved Nutrition (GAIN) is seeking a Policy Assistant to support with  the day-to-day administrative assistance to the Policy Engagement and Advocacy Support (PEAS) team and diary management for the Director of Policy. The Policy Assistant will support with relevant policy initiatives as guided by the Policy and Advocacy Manager.

This role would suit a motivated and enthusiastic individual looking to gain experience of policy work whilst supporting the PEAS team and Director of Policy in delivering GAIN’s policy strategy.

This role will be offered on a 2 years’ fixed-term contract basis and can be based in either of our GAIN offices in Kenya, Nairobi or New Delhi, India.

Key Responsibilities include
  • Acting as the focal point for all administration for the Policy Engagement and Advocacy team
  • Working with the Director of Policy, managing their diary and travel
  • Supporting with standard project management administration in accordance with the GAIN’s guidelines
  • Supporting with the organisation of team meetings and events
  • Acting as the focal point for policy workshops and retreats
  • Leading on documentation such as meeting notes and circulating to the relevant stakeholders
  • Supporting with budget administration and procurement processes including processing approved invoices and expenses. Regularly checking payments and following up on unpaid invoices
  • Preparing and formatting standard contracts and related documents
  • Other duties as requested by the Policy and Advocacy Manager

About You 

The post holder will be expected to have administrative experience in a team support role, ideally working in a complex international environment. You will have the ability to work within a matrix structure that will see you communication and collaborating with a wide variety of key internal and external stakeholders.

You will be able to manage your time effectively as well as pay attention to detail, as the role will see you involved in high levels of administration and the processing of invoices.

A good command of oral and written English will be an important key skill in order to be successful in this role as you will be required to write and submit reports.

A working knowledge of Microsoft Office packages such as Word and Excel will be important in the role. An interest in policy work within the international development sector is desirable.

Candidates should possess a relevant qualification in business administration, public health, nutrition, public policy, development studies or equivalent experience.
