Responsibilities

  • Project/Program management of our six portfolio partnerships (these are organizations that receive funding from IRAP), as well as new future partnerships as needed. This includes setting up organizational systems and managing oversight and tracking of tasks; coordinating staff teams engaged in project work; managing overall budget and expenditures related to partnerships including travel.
  • Serve as the point of contact for portfolio partners. This includes coordinating our general ability to build relationships with new partners, ensuring responsiveness to current partners and prompt follow-up with appropriate IRAP teams; organizing regular check-in meetings and visits.
  • Coordinate logistical issues related to partnership development including scheduling meetings and handling occasional facilitation, note taking, document organization and other logistics.
  • Work closely with the Communications team regarding IRAP’s public facing communications about portfolio partnerships, related media work, including social media, webinars, and public-facing events.
  • Ensure routine communication to IRAP staff and board regarding portfolio partnerships. This includes planning for board meetings and staff presentations, and handling regular internal staff updates and presentations from outside speakers.
  • Coordinate with IRAP’s Development Department to plan for donor-facing events related to portfolio partners, communicate with donors about this work and receive and review regular narrative reporting and impact tracking from portfolio partners.
  • Manage the operational needs related to IRAP’s work in regions where IRAP doesn’t have an office and is engaged in programmatic work, which includes serving on the Operations Coordinating Team and assisting in the creation of new policies and procedures related to this work.
  • Work directly with the Finance Department on all financial aspects of our funding to portfolio partners including budget tracking, grant payments and financial reporting.
  • Plan travel for IRAP staff and for partnership teams to visit each other; including logistical responsibilities, planning a calendar of events and meetings, providing visa support for partnership teams and other related tasks.
  • Track and document IRAP’s work in this arena, including coordinating with IRAP’s Evaluation and Learning Department to develop metrics to guide portfolio partners’ reporting to IRAP, to ensure robust tracking of IRAP’s impact.
  • Work closely with the Pro Bono Department and with program teams to develop law school student chapter projects and to engage law firm pro bono support on this work.
  • Other duties as assigned.

Qualifications

  • Strong project management skills including excellent organizational skills
  • Minimum of 5 years of experience managing a project or program with preference given to experience in the field of refugee and immigrant rights.
  • Experience working with small community-based and NGO partners.
  • Ability to multitask, manage a high-volume workload, and be flexible in a fast-paced and high-pressure work environment.
  • Availability to travel approximately 10-20% of the time, depending on location. Ability to travel internationally is critical to the role.
  • Strong interpersonal and communications skills.
  • Ability to lead cross-departmental teams and initiatives.
  • Sensitivity to client empowerment and to working with clients of all backgrounds, including LGBTI clients, survivors of trauma, and other vulnerable populations
  • Excellent oral and written English skills required; excellent skills in other languages a plus but not required.
  • Preference given to candidates who have worked with refugee-led and local organizations in the past.
  • In order to facilitate work with partners in East Africa, preference for candidates who are within three hours of GMT + 3 (East Africa time zone); we will also consider candidates willing to move to one of our office locations in Berlin, Amman or Beirut for the same reason.
