Job purpose
Based on operational needs, the Country Office identifies the need for hiring a Business Support Assistant (Receptionist/Administrator) to support office operations with regards, in particular, to safety and security aspects in line with established procedures.
Key accountabilities (not all-inclusive)
- Assist in coordination, preparation and conduct of field missions including tracking of staff and security assessments of the area(s) to support safe and effective programme delivery.
- Assist in implementation of all security risk management mitigating measures to support compliance at all times.
- Assist in the inventory control and maintenance of security equipment, to ensure its appropriate functioning at all times.
- Contribute to the update of emergency and contingency planning documentation including physical preparations and procedures to support preparedness for the crisis.
- Assist in preparation of security assessment reports after field missions, to support security situation analysis and facilitate decision-making.
- Ensure that all access control procedures are effectively and stringently followed by all staff and visitors, to ensure accountability and maintenance of safe and secure environment.
- Ensure that no unauthorized personnel gain access to the facility.
- Intercept, identify and make the proper log entries for visitors and other appropriate persons to the facility.
- Demonstrate a working knowledge of post’s emergency action plan (fire, intruder, hazards, explosion, etc). Know how to properly employ firefighting equipment and first aid kit should an emergency occur.
Standard minimum qualifications
Education: Completion of secondary school education.
Experience: Three or more years of experience of receptionist/admin work.
Knowledge & Skills:
- An ability to work effectively, respectfully, and inclusively with people from different backgrounds and with different perspectives.
- Uses tact and courtesy to give and receive information with a variety of individuals.
- Fire Safety, First Aid Training is desirable.
- Knowledge of standard office software packages, e.g. Microsoft word.
Languages: Fluency (level C) in English and Armenian languages; working knowledge (level B) of Russian language.
