The jobholder reports to the Financial Controller and ultimately to the Finance and Administration General Manager of the Singapore office, under the local supervision of the Managing Director of the Singapore office.
The jobholder will:
- Support the Financial Controller to handle the financial accounting and reporting, as well as Singapore regulatory matters for the region
- Manage the outputs of Total Trading Asia Accounting team for timely and accurate accounting and reporting of the trading P&L of the various trading books and overheads accounting, as well as local regulatory and statutory reporting and Singapore tax matters
- Constant interaction within the team and other departments of the entity/group affiliates in Geneva, US, Paris and other parts of the world, as well as liaising with external parties like counterparties, auditors and government authorities (Inland Revenue Authority of Singapore, Department of Statistics, Energy Market Authority, Enterprise Singapore, Monetary Authority of Singapore)
- Manage team of 6 accountants – 3 Trade Accountants, 3 Overheads Accountants
- Lead the accounting, reporting and regulatory activities of TOTAL TRADING ASIA PTE for TOTAL Group CAP reporting, local statutory and tax reporting, checking/resolution of material discrepancy between systems and intercompanies
- Review weekly and monthly trading P&L to Head Office, and overall reconciliation of P&L between the trading system and the accounting system with thorough and complete daily investigation of significant P&L movements on each trade, by desk, and assessment of traders’ MTM figures;
- Ensure all the monthly, quarterly and annual closing activities are completed timely, accurately and in compliance with the TOTAL Group and Trading &Shipping standards, as well as various regulations, ie. Global Trader Programme (‘GTP’), GST regulations, WithholdingTax, Income Tax, government surveys, SOX and statutory audit, IFRS and FRS standards etc ;
- Day to day management and guidance to Accounting team for proper accounting of trading activities (Incl MTM, storage, freight & shipping, costs, demurrage etc), overhead supplier invoices, IT, office and staff travel expenses. Liaise with Deputy Financial Control to ensure that costs allocation ratio is reasonable and up to date for the different business segments and trading books
- Check on the integrity of the data and journals in the Accounting system SAGE and reporting system SEI;
- Troubleshoot/Resolve issues and liaise with Geneva IT teams for the Trading system Medissys, Accounting system SAGE and SEI reporting system
- Supervise and monitor the overall corporate tax, Singapore Withholding Tax and GST reporting process – Complete and accurate annual tax computation, Singapore Withholding tax reporting/payments and quarterly GST declarations to IRAS;
- Review and supervise the hedging of non-USD transactions and FX fluctuation relating to FX hedging activities
- Support the Annual Budget exercise carried out by the Deputy Manager Financial Control and Overheads accountants on operational costs and the analysis of operarional costs fluctuations
- Constant interaction with internal parties such as Traders, Operations, Middle Office on operational issues and adhoc matters; communication with Geneva/Paris/US office for financial reporting guidance and sharing; and with external parties such as auditors, tax advisors and Government authorities (Inland Revenue Authority of Singapore, Department of Statistics, Energy Market Authority, Enterprise Singapore, Monetary Authority of Singapore)
- Involve in ad-hoc tasks and projects;
- Identify and resolve issues/problems faced by the team, or escalate to Financial Controller for discussion
- Total Trading Asia supports TOTAL’s Group Asian marketing activities in addition to international trading and marketing with TOTSA in Fuel Oil, Mid-Distillates, Gasoline, Naphtha, LPG, Crude Oil Products and Petrochemicals, jobholder to assist in ensuring TTA’s accounting and reporting meets the requirements and in compliance with the many regulations that it is subject to – all within an environment where the team must meet strict deadlines.
- Activity particularly increases around month-end, quarter-end, financial year-end and during the statutory audit.
- The jobholder is to support the Financial Controller to effectively controlling and ensuring correct accounting treatment of the trading and business activity of the company.
- Due to the extent of information acquired in the course of their duties, the jobholder must respect the rules of confidentiality
Candidate profile
- Degree in Accountancy or Equivalent (Bac + 3) with recognized professional accountancy qualification – e.g. Chartered Accountant or ACCA membership
- Minimum 10 years’ post qualification working experience in a accounting environment with prior experience of working with in a commodity trading environment and understanding of the complexities of trade accounting and trading systems/databases
- Experience in managing a team
- Meticulous, professional, responsible, efficient, able to work both independently and as a team player within/with other departments and management, demonstrates good communication skills and close attention to detail.
- Ability to cope well with stress in a fast paced environment and multi-task for urgent requests
