Project Management Assistant
The Project Management Assistant must provide excellent administrative support, demonstrate initiative, take ownership of responsibilities, and complete assignments with positive results. The Project Management Assistant will handle a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.
Specific Responsibilities:
- Managing the day-to-day operations of the Brazil IP project office in Rio
- Organizing and maintaining files and records for the Brazil IP project.
- Working with the team leader to plan and schedule meetings and appointment with consortium partners and key project stakeholders.
- Preparing and editing correspondence, reports, and presentations related to the project.
- Competently and professionally handle information that is sensitive, complex and confidential in nature.
- Circulate information appropriately, document and share with appropriate staff, external individuals and organizations.
- In the absence of the Team Leader, monitor all communications (email/mail/phone), forward to the appropriate staff person for action.
- Take meeting minutes, compose and prepare confidential correspondence, reports and other project documentation.
- Perform other duties and special projects as assigned by the Team Leader.
- Schedule meetings, prepare and share agendas between team members.
- Structure and keep track of project’s timelines.
- Consolidate, summarize and prepare weekly status report to customer.
- Support team members in shared collaborative online tool for calendar, files and deadlines
Profile:
Performance–oriented, reliable, must be able to proactively identify gaps and act on those. Works collaboratively with the team, willing to share and learn, and has experience with MS Office suite and project management tools. At times, might need to interact with customer in project-related meetings.
Reporting:
The Project Management Assistant will work directly with Team Leader (Rio de Janeiro) and interact with English-speaking team members in the UK and other Palladium Offices.
Required Qualifications:
- Bachelor’s degree in any field.
- Project Management Experience.
- Fluency in English: able to write in reports for UK-based team and participate in online meetings.
- Experience working on donor funded programmes and thorough knowledge of applicable regulations and requirements, preferred.
- Excellent cross-cultural communication and interpersonal skills demonstrated by ability to interact professionally with culturally and linguistically diverse staff, clients and consultants.
- Strong leadership, analytical and organizational skills; demonstrated ability to work both independently and within a team, assess priorities, and manage a variety of activities with attention to detail.
