Overview of the functions of the post
Under the overall supervision of Chief of the Unit for Knowledge Management Services, within the Communication Team in the Office of the Assistant Director-General for Education Sector (ADG/ED/COM), and the direct supervision of the Senior Information and Web Assistant, the incumbent will maintain and monitor the stock of Education publications, distribute documents and materials for meetings and conferences at Headquarters, manage Education Sector meeting rooms, assist in the management of office space, install computers and handle IT trouble shooting.
More particularly, the incumbent will:
- Maintain and monitor the Education Sector stock of publications at Headquarters. Liaise with colleagues regarding the storage and distribution of publications. Update the database to monitor incoming and outgoing publications, check the availability of documents and prepare publications for shipment and/or distribution. Guarantee the stock room is in proper order for easy access to publications.
- Assist the network support technician in the reception and installation of new workstations, peripheral equipment using standard hardware and software for the Education Sector. Assist in troubleshooting IT issues (computer, Internet connection).
- Assist in the management of office space for the Education Sector. Coordinate the allocation of workstations for consultants and interns arriving in the Sector, in consultation with the Unit for Human Resources (ED/EO/HR) and programme assistants, and update the related monitoring tool. Coordinate office removals. Assist in troubleshooting administrative problems (telephone, printers, computer, office furniture).
- Manage meeting rooms and related equipment, and provide support for the organization of online conferences.
- Manage incoming and outgoing mail for the Education Sector. Manage office supply for the Executive Office, the office of the Assistant Director-General for Education (ADG/ED) and the meeting rooms.

Required qualifications
Education
- Completed secondary general, technical and/or vocational education.
Work Experience
- Minimum of three (3) years of relevant work experience in administrative and/or office-related support tasks.
- Experience with databases and spreadsheets, stock management and IT hardware support.
Skills and Competencies

- Good time management skills and flexibility to adjust work schedules and priorities.
- Rigour and attention to detail.
- Ability to work as part of a multicultural team with tact and sensitivity to diversity.

- Relevant work experience and/or familiarity with the functioning of the United Nations system or an international organization.

- Knowledge of UNESCO’s work and familiarity with the programmes and activities of the UNESCO Education Sector.
- Knowledge of web conferencing tools.
Languages
- Good knowledge of another UNESCO official language (Arabic, Chinese, Russian or Spanish).
