Responsibilities

Under the overall guidance and supervision of the Regional Mission Support Officer, the incumbent will perform the following duties:

• Providing secretarial, administrative and logistics support to the office of RMS;
• Maintaining records of rules, regulations, administrative instructions and other related documentation;
• Assisting in researching, compiling, and organizing information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.;
• Taking minutes when RMSO chairs meetings;
• Coordinating extensively with service units and liaises frequently with Mission Support team members.
• Performing other related administrative duties, e.g., physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for conferences and high-level meetings.
• Providing support for translation and interpretation from Kurdish to English/English to Kurdish verbally or in writing.
• Screening UN forms and permissions for contractors when issuing identity cards and/or batches for entry clearances and work unit prior to submission for approval;
• Communicating and coordinating with various sections and/or UNCT with regard to provision of support to the Mission’s inquiries;
• Organizing meetings, appointments, official visits, and travel arrangement for the RMSO.
• Liaising with local officials both within and outside the UN on activities related to the Office of the RMSO;
• Screening phone calls and visitors; responds to moderately complex information requests and inquiries and as necessary, referring inquiries to appropriate personnel for handling;
• Maintaining calendar/schedules; monitoring changes and communicates relevant information to RMSO;
• Reviewing records, distributing and/or processing mail and other documents; follows-up on impending actions;
• Assisting other Mission Support sections whenever required;
• Performing other duties as assigned.

Work at the front office of Mission Support implies frequent interaction with the following:
Staff from UNAMI, UNITAD and UNCT as well as stakeholders.

Contributes in the assigned areas of responsibility to the effectiveness and efficiency of the Mission Support by providing administrative support and specialized assistance in a professional outstanding polite manner to all staff and clients from all categories and levels of seniority.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of three (3) years of experience in general administration, public relations, administrative/secretarial office support is required.

Experience within UN system is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and Kurdish is required.
Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
