Astana Common Premises (CP) unit is aimed to provide overall common premises services for Astana occupied United Nations (UN) agencies (UN RC, UNDP, UNDSS, UNFPA, UN Women, IOM, UNODC, UNRCCA, OHCHR, ILO, UNHCR) in operating registry, ICT, technical services, cleaning service, security and safety provision, utilities, air-con system, Internet, telecommunication services, etc.
Duties and Responsibilities
Receptionist will provide general reception, communication and information services ensuring high quality and accuracy of work as follows:
A. Front-desk and registry service:
• Monitoring of all visitors to the office; assistance to visitors by providing directions and accurate information related to the CP;
• Operation and management of the telephone switchboard, receipt and forwarding of incoming telephone calls and/or received information to proper UN agencies staff;
• Receipt, registration, coding and forwarding of incoming and outgoing correspondence and/or received information to proper UN agencies staff;
• Receipt, registration and dispatch of pouches, ensuring cost recovery services;
• Booking of conference rooms and vehicles via CP Service Center for UN agencies staff;
• Acting as a focal point to collect, forward and follow up on requests for CP-related services;
• Following up on various inquiries from UN agencies staff in relation to operating and CP activities;
• Any other related tasks as may be required or assigned by the supervisor;
B. Assistance with financial management and procurement:
• Preparation, submission and timely correction of vendor forms, collection of required documents for registration and/or update of vendor profiles;
• Preparation of e-requisitions, purchase orders and vouchers;
• Timely correction of unposted vouchers, including vouchers with budget check errors, match exceptions and unapproved vouchers;
• Tracking and submission of financial documents for VAT reimbursement purposes;
• Receipt and sorting of financial and technical offers under relevant procurement procedures ensuring that all offers received will bear the date and time of actual receipt.
C. Communications support:
• Maintaining effective communication with UN agencies in the CP as well as within the CP team;
• Collection and update of UN staff information on a monthly basis ensuring all data and information is correct and accurate;
• Update of the UN Premises telephone list and UNDP Directory, addresses of the Government, international organizations, embassies, NGOs and other important contacts/partners.
Required Skills and Experience
Education:
- Secondary education/high school diploma; Bachelor’s degree is an advantage.
Experience:
- At least 2 years of relevant work experience in administration and/or international or national projects or organizations.
- Detailed knowledge and understanding of clerical, secretarial and administrative best practices and procedures;
- Excellent oral and written skills;
- Excellent drafting, formulation, reporting skills;
- Proficiency in Microsoft Office, spreadsheets, etc.;
- Experience in financial management systems;
- Ability to handle a large volume of work possibly under time constraints;
- Ability to organize and complete multiple tasks by establishing priorities.
- Good knowledge of UNDP ERP system is desirable;
- Knowledge of UNDP policies and procedures is an asset.
Language:
- English and Kazakh and/or Russian is required.
