About the role
The Disability Inclusive Development (DID) programme started July 2018 and is a six year, £29.25m FCDO funded commercial contract managed by Sightsavers DID Fund Management Team (FMT). The DID programme consortium consists of 11 partners who run disability inclusive development projects across the programme’s four thematic areas, health, education, livelihoods and negative stereotyping & discrimination. The programme operates in six countries, Bangladesh, Kenya, Nepal, Nigeria, Tanzania and Uganda. The DID FMT is responsible for the DID programme’s management: finance & risk, monitoring, evaluation and learning, adaptive management, reporting and quality assurance, governance, contract management, consortium partnership management and donor relations.
About you
The post holder will provide administrative and coordination support to ensure the smooth operation of the DID programme. They will also contribute to programme learning and monitoring through support to the development, implementation and improvement of systems, tools and processes. The Programme Assistant will be part of the Monitoring, Evaluation and Learning (MEL) team, and they will work closely with other members of the MEL team and others in the FMT on delivery of discrete projects, programme learning and dissemination, monitoring and reporting and coordination of meetings and events. This role will involve close collaboration with DID consortium and implementing partners and external events companies. The post holder may have the opportunity to travel to DID programme countries for 1-2 weeks a year.
Principle accountabilities:
Support the planning, implementation and delivery of programme learning events, activities, and products.
- Participate in the planning and budgeting of learning events, activities and products. Events and activities may include DID consortium learning sessions, conferences, meetings, focus group discussions or interviews, dissemination events, etc.
- Lead on the logistics for online and in-person learning events. These logistics may include tasks such as: scheduling events in the team calendar and ensuring coordination with other planned activities, generating a participant list, working with participants to agree on an event date. (via Doodle Poll, etc.), issuing invitations, supporting agenda development, managing budgets, receiving and checking invoices, minute taking, developing and implementing an accessibility plan and working with vendors to provide translation services.
- Coordinate with internal and external stakeholders on preparing submissions for, and attendance at, prioritised conferences to present the work of the DID programme.
- Support in the development of content for programme learning pieces, in coordination with the Learning Advisor and wider MEL team.
- Support in coordinating the final design and publication of programme learning pieces, working closely with the FMT and Communication team.
Support in programme monitoring, coordination and reporting
- Coordinate logistics for meetings and workshops with consortium partners and projects in collaboration with the MEL team, including scheduling, coordination and circulation of agendas, and managing invitations.
- In close collaboration with the Project Manager, support the coordination of governance and consortium partner meetings and communications
- Take minutes and record actions in programme monitoring and governance meetings. Coordinate the finalisation of minutes with the Project Manager and disseminate.
- Support the development and implementation of new and existing systems, tools and processes to support efficient and effective programme MEL and management, and contribute to the delivery of DID programme strategies
Support in the programme’s knowledge management and consortium communications
- Support in the development and implementation of a document library, which collates and organises evidence, research and learning products produced by the DID programme.
- Support in cross organisational working, working closely with other Sightsavers teams and departments to facilitate the programme’s broad, active and constructive contribution to the overall strategic direction of the organisation.

Essential:
- Demonstrable experience of providing administrative, coordination or logistical support.
- Experience in working with multiple stakeholders and managing pieces of work within deadlines.
- Writing reports, meeting notes and/or communication materials for a wide range of internal and external audiences.
- An understanding of and commitment to equality of opportunity for people with disabilities.
Desirable
- Experience working in international development or disability inclusion;
- Working for an organisation of persons with disabilities (OPD) or as a member of an OPD;
- Project management experience;
- Experience managing budgets;
- Knowledge of key concepts in the monitoring, evaluation and/or learning of projects.
