Duties
Assists and supports the protocol assistant in all aspects of day to day activities including requests for meetings with senior members of the government, diplomat corps and other VIPs, guest list preparation, invitations, contact list management and AMB’s gift list per AMB’s direction. Supports representational events (working closely with the COM OM (Office Manager) and protocol assistant in relation to scheduling and guest lists to include staffing, furniture requirements, menu preparation, table/seating arrangements, ordering and purchasing any needed items, supervising deliveries, supervising caterers or outside contractors and/or laborers, and orchestration of event.
At least two years of work experience in an office setting with general administrative duties, in protocol or office management is required.
Job requirements
- Strong communication and effective team skills. Computer proficiency and MS Office knowledge is required. Support all aspects of the Protocol team and coordinate meetings and events for the Executive Office.
- Two (2) years of college/university studies is required.
- Language: Level IV (Fluent) written/spoken/read is required. Level IV (Fluent) written/spoken/read is required.
Skills and abilities
- Must be able to lift loads of up to 25 lbs when performing inventory/distributing equipment.
- Job holder must be knowledgeable in Microsoft Office Suite programs, including Excel, Word, Power Point, and Outlook.
- Must be able to use other databases including the Security Assistance Network (SAN Web), Training Management System (TMS), Resource Information Management System (RIMS), as well as the Leahy Vetting System.
- Must possess a valid Senegalese driver’s license.
- Must have had a valid driver’s license for a minimum of five (5) years.
