About the Role
Reporting to the Head of Office, Geneva, the Office Assistant will focus on general administrative tasks related to facilities management, office maintenance, office reception and event support functions. You will maintain a high level of customer service while managing facilities and reception expenditures.
Key Responsibilities include;
- Liaising with service providers on purchases and payments of Geneva office goods and services
- Acting as the main contact of the Geneva office and assisting teams on office matters such as meetings, office bookings, etc.
- Updating the Geneva office budget and expense report under the guidance of the Head of Office
- Managing building access of employees and visitors and supporting reception-related tasks
- Supporting organisation’s events both internally and externally and organising office socialization initiatives including office breakfasts, lunches, apéros etc.
About You
The ideal candidates will have experience in Office management and/or receptionist and supplier management. You will have a high level of customer service orientation and interpersonal skills which will help you when communicating with external visitors, and the handling of employee and management requests.
The postholder should be fluent in English and French (both in written and verbal) and should be computer literate with excellent MS Office skills.
You will have excellent time management skills and flexible with multi-tasking coordination. Candidates should have a CFC certificate, hotel certificate, brevet or equivalent experience.
