DESCRIPTION OF DUTIES

As part of the APS Immunization PolicyTeam and reporting to the Team Lead for Immunization Policy, the incumbent ensures the efficient and effective organization for a variety of secretarial, coordinating, monitoring and administrative services in support of the Strategic Advisory Group of Experts (SAGE) on Immunization. Based on broad objectives defined by the Team Lead, SAGE Project Manageror on own initiative, composes and finalizes administrative correspondence including, but not limited to invitations and information documents prepared according to WHO rules, practices and procedures. Liaises with the Office of the Director-General in the preparation of briefing materials in a timely manner. Manages interaction with the private sector, ensuring protocol and exercising tact and discretion in order to obtain information and/or request briefings etc. Coordinate support services for conferences and meetings, takes minutes at meetings. Develops and maintains a tracking system to scan, record, refer and follows-up on correspondence and documents, evaluates the urgency or critical nature of items, and brings them to the attention of the responsible staff.Informs and reminds responsible staff of follow-up dates and deadlines for response or specific actions, supplying supporting material as appropriate. Coordinates with WHO regional offices and across WHO headquarters’ departments to ensure timely submission of documents.Using WHO’s business management system, monitors aspects of the implementation of activities and availability of funds for project/programme budget levels and financial expenditures, according to the approved projects.Responsible for the preparation of detailed costings relating to the Team’s activities including, but limited to meetings, publications, translation, social media, etc. Prepares draft background documents for planning, monitoring and evaluation (including mini-review) exercises. Liaises with the translation services on recruitment of interpreters for regular SAGE meetings and makes practical arrangements for interpreters and temporary advisers, including following up on issuance of contracts, travel arrangements, providing background documents and support during sessions. Leads the organization of meeting logistics and is responsible for general administrative preparations for meetings held in WHO headquarters or in Member States (including working groups; briefings for Permanent Missions or for Member States; governing body sessions; consultations with different partners; teleconferences, etc.), i.e. composing and sending invitations, securing suitable meeting locations, makes practical local arrangements (accommodation, catering, transfers, etc.) and arranges transport of documents/equipment; arranges hospitality or social events in connection to the session as appropriate.Provides administrative and secretarial support during the meetings. Acts as focal point for participants providing guidance and support on all administrative and procedural matters.Coordinates and organizes travel of SAGE members to SAGE meetings and duty travel of staff in the Immunization Policy Team. Uploads information and updates to the SAGE websites as well as Share Files. Prepares administrative reports.Establishes and maintains the Team’s filing system of technical documents and correspondence. Creates background files and compiles reference material as appropriate. Accesses and retrieves information from relevant databases and updates as required.Regularly updates contact lists of SAGE or other relevant databases.Responds to and acts on telephone or email enquiries.Monitors actively SAGE generic email box and takes action as appropriate.Provides briefing and guidance to general service and professional staff on general office practices and procedures, assists or replaces colleagues in the Unit or Team and performs other related duties as required.Perform other duties as assigned by the supervisory line.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education or equivalent commercial school.

Desirable:

Experience

Essential: At minimum of 8 years of progressively responsible experience administrative positions, including experience in WHO or other UN organizations.Experience in organizing important high-level meetings.
Desirable: Relevant experience of WHO administrative rules, regulations, procedures and practices, and of its structure.

Skills

Strong skills to work independently.Strong organization and offices skills, as well as skills in note taking and minute writing. Sound knowledge and skills using a variety of office and computer packages. Sound knowledge of WHO and/or UN administrative rules and regulations, procedures and practices. The ability to multi-task and work under pressure. The ability to exercise discretion at all times in judging the importance, urgency and confidential nature of various issues and tact when dealing with staff and external partners of all nationalities.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at CHF 84,962 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
