The Admin Intern will support the UNICEF Istanbul office in premises-related work, drafting presentations, combining Excel documents, creating an online filing system under SharePoint, receiving guests from reception, booking common meeting rooms for meetings, drafting meeting minutes, and obtaining permission from building management for any necessary repairs or renovations. The intern will gain valuable experience in administrative tasks a UN agency context.

- Assist in maintaining office premises, ensuring that they are clean, and in good condition.
- Obtain all necessary permissions and permits from building management for the repairs or renovations on a timely manner.
- Create visually appealing and professional presentations for various meetings and events.
- Conduct research and gather data to create informative and engaging presentations.
- Edit and format existing presentations as needed.
- Combine and organize data from multiple Excel documents into one comprehensive document.
- Ensure that data is accurate and up to date.
- Use advanced Excel functions to analyse and visualize data as needed.
- Create an organized and user-friendly online filing system using SharePoint.
- Work with other team members to ensure that the system is accessible and useful.
- Register, greet and welcome guests visiting the UNICEF Istanbul office.
- Ensure that guests are signed in and directed to the appropriate person or meeting.
- Maintain an accurate and up-to-date schedule of common meeting rooms.
- Assist in booking common meeting rooms for meetings and events.
- Ensure that meeting rooms are properly set up and equipped for the meeting.
- Attend meetings and take accurate and detailed minutes.
- Draft meeting minutes and distribute them in a timely manner.
- Ensure that meeting minutes are accurate, complete, and in line with UNICEF standards.
Qualification
- Be enrolled in an undergraduate, graduate or Ph.D. degree programme or have graduated within the past two years – Applicants must be at least 18 years old.
- To be fluent in English, with strong writing skills. Additionally, fluency in another official and working language of the UN would be an asset.
- To have excellent academic performance as demonstrated by recent university or institution records.
- Additional consideration will be given for any past experience in related fields.
